Bikes Not Bombs uses the bicycle as a vehicle for social change.  We reclaim thousands of bicycles each year.  We create local and global programs that provide skill development, jobs, and sustainable transportation.  Our programs mobilize youth and adults to be leaders in community transformation.  Each year we collect roughly 5,000 – 6,000 used bicycles and tons of used parts from our supporters around Greater Boston and New England.  We ship most of these bikes overseas to economic development projects through our International Programs in Africa, Latin America, and the Caribbean. Bikes that don't get shipped often land in our Youth Programs where teens learn bicycle safety and mechanics skills in the process of earning bikes to keep for themselves. Our retail Bike Shop also reconditions and sells some of the donated bikes that we receive, employing many graduates of our programs. The Shop's profit from the bicycle sales, parts sales, and repairs goes towards funding our youth and international work.  BNB is 32 years-old and has an annual budget of $1.5 million.


Position Summary

The  Office and Operations Manager role oversees day-to-day operations, manages our office, supports bike collections, our weekly Volunteer Night work sessions, and manages volunteers.  Bikes Not Bombs currently has three facilities:  (1) our “Hub” which houses our youth programs, international programs staff and is the location of our weekly Volunteer Night in Jamaica Plain; (2) our full service Bike Shop & Vocational Training Center, also in Jamaica Plain; and (3) our warehouse in Dorchester.  The position will primarily manage our Hub, but also support operations at our Bike Shop and assist our Collections Manager in managing our warehouse as well. The Operations Manager will be supervised by the Director of Operations and International Programs.

  • Facilitate an efficient and positive office environment, make sure facilities meet needs and maximize resources, and assist in running an excellent bike collections program that meets the organization’s needs

  • Manage excellent volunteer opportunities that help the organization operate efficiently

  • Contribute to the overall growth and success of Bikes Not Bombs


Facilities and Office Management (20%)

  • General facilities maintenance: manage storage, repairs, HVAC system, utilities, dumpster, alarm system, phones, key copies, related bills, lighting, plumbing, etc

  • Maintain and store supplies for all events, manage loaning and borrowing with other orgs

  • Order office supplies

Bike Collections (30%)

  • Pick up donated bikes with the truck from various bike shops around Boston, unload at the warehouse, and occasionally support the Bike Shop with warehouse runs

  • Oversee vehicle issues such as insurance, repairs, and maintenance

Volunteer Management (20%)

  • Manage office, bike collections, volunteer night, and container loading volunteers

  • Manage volunteer timesheet systems and tracking

  • Effectively leverage extensive volunteer network for BNB goals and operational efficiency

  • Communicate with various parts of the organization to understand shifting voluntee needs and opportunities

Container Loading Logistics (10%)

  • Schedule and oversee the loading and shipping of BNB’s donated bicycles and other items to international partners

  • Maintain active list of preferred inventory by partner, and seek feedback from partners

  • Maintain necessary relationships with trucking companies, freight forwarders, and clearing agents

  • Maintain an understanding of customs issues in each shipping destination to avoid problems

  • Manage all paperwork and ensure partners are prepared to get container through customs

Overall Administration and Events (20%)

  • Contribute to events as needed: Bike-A-Thon, Building Momentum Breakfast, Earn-A-Bike Graduations, etc.

  • Answer phone calls and people walking into the office with bike donations and questions

  • Contribute to administrative and other office tasks as needed


Background and Qualifications

The ideal candidate for this role will have experience in facilities management, office management, and supervising and supporting volunteers; possess excellent oral and written communication skills that are effective with a diverse range of audiences; and support bike collections, thus ability to drive a truck is a must. Additionally, below is a list of qualities in an ideal candidate:

  • Commitment to all aspects of Bikes Not Bombs’ mission

  • Experience managing facilities and supporting the operations of an organization or company of similar size to Bikes Not Bombs

  • Experience and comfort driving cube van style trucks

  • Experience with construction and carpentry a plus

  • Demonstrated ability to effectively supervise volunteers

  • Ability to work with staff, board, and volunteers with sense of humor and flexibility

  • Ability to work individually and as part of a team in a fast-paced work environment

  • Self-motivated, resourceful, and creative

  • Ability to set priorities, manage schedules, meet deadlines, and track the progress of multiple projects simultaneously while maintaining a high-quality of work and strong attention to detail

  • Commitment to excellence a must

Compensation & Benefits

The compensation package for this position includes an annual salary of $35,000-40,000.  Additional benefits include - paid time off, health insurance, flexible work schedule, and discount at our bike shop.
